Responsibilities

At Quest, the Humans Resources (HR) Coordinator provides administrative support to the human resource function as needed, including record-keeping, background screening, file maintenance and HRIS entry.

  • Responds to and processes various inquiries from managers and employees, and from other agencies or departments. Supports the HR Team in all aspects as needed.
  • Initiates and monitors new employee level 2 background process established by Quest, Inc. Maintain continuous follow up until New Hire has cleared Level 2 Background Screening.
  • Completes E-verify and verifies I-9 documentation and maintains that they are current. Prepare and Process Retro-Tax forms as needed.
  • Creates and maintains personnel files. Ensures that scanning and records maintenance activities are performed in an efficient and effective manner.
  • Manages the HRIS system and maintains system integrity. Enters all new hires into HRIS. Maintains personnel record and inputs all changes in HRIS accordingly. Runs reports in HRIS as needed by the dept.
  • Ensures personnel file compliance standards are met for all ongoing employees. Archive terminated personnel files into Quest repository.
  • Process monthly review check of driver’s license or Florida ID cards; automobile registration; automobile insurance; and professional certificates (nursing license, BCBA, etc.) and safety belt distribution.
  • Makes employee badges.
  • Prepares HR files for licensing and surveys.
  • Prepares correspondence and completes the 401k automatic enrollment process for all new hires.
  • Maintain database of employee’s anniversary dates for employee recognition and distribute monthly recognition awards and process service award gift certificates.
  • Coordinates all details for monthly New Hire Orientation and other Quest training classes. Coordinates the completion of the online required courses prior to New Hire Orientation.
  • Registers participants for New Hire Orientation in Learner Web; including biometrics time clock for new hires. Emails orientation hours to Training Manager.
  • Update Learner-Web with all information to training classes completed including uploading documents, when needed.
  • Handles all special projects as requested by management and other duties/ responsibilities as assigned.

Qualifications

  • Eligible to legally work in the United States
  • Be at least 18 years of age
  • Successfully complete a background check and drug screen
  • Ability to read, write, and speak English
  • Ability to thrive in a team environment
  • Valid FL Driver’s License with a clean driving record
  • Associate or Bachelor’s degree in human resources or related field, and/or equivalent combination of education and experience
  • Knowledge of HR competencies and ethics preferred
  • Experience with ADP software (e.g., Workforce Now)
  • PHR, SHRM-CP a plus
