Responsibilities

At Quest, the Receptionist position serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival. Responsible on a daily basis for ensuring the smooth operation of the front desk and reception functions, as well as providing administrative support.

  • Present a professional, welcoming first contact to all clients, funders, vendors, board members, team members, potential employees, media, etc. by phone, in person, and email.
  • Maintains a professional, organized, and tidy reception area for guests.
  • Handle all incoming calls for Orlando and Tampa locations and route to the appropriate staff, taking accurate and complete messages as needed.
  • Responsible for opening and closing duties, including switching phone status (night/day), printing conference room schedules, wiping down windows and surfaces when needed.
  • Maintains security by following procedures and issuing visitor badges as needed.
  • Process all incoming and outgoing mail; maintain postage meter supplies, and account.
  • Distribute inter-office mail to appropriate recipients.
  • Process and distribute all incoming and outgoing FedEx and other shipping, maintain shipping supplies and ordering when needed.
  • Make mailbox changes in conjunction with OPS team member changes.
  • Update company telephone list and distribute to team members.
  • Responsible for monthly staff birthday cards and anniversary letters (Orlando).
  • Assist OPS Manager in processing PO's for all vendors related to building maintenance and operations (i.e.: Coffee service, AC, Elevator, Office Supply, Pest Control vendors).
  • Assist with building related vendors and relationships (i.e.: coordinate office supply orders, report cleaning issues to vendor, etc.).
  • Assist with internal employee recognition program.
  • Assist with projects from other departments and programs as needed.
  • Maintain confidentiality in all individual related and personnel matters.
  • Perform any and all duties as assigned by your supervisor.

Qualifications

  • Eligible to legally work in the United States
  • Be at least 18 years of age
  • Successfully complete a background check and drug screen
  • Ability to read, write, and speak English
  • Ability to thrive in a team environment
  • Valid FL Driver's License with a clean driving record
  • Ability to provide proof of educational achievement or required certifications such as a high school diploma, GED, college degree, advanced degree, or medical credentials
  • Advanced computer literacy skills a must
